Office Manager

Volunteers of Legal Service (VOLS) seeks a full-time Office Manager to help us as we leverage the good will, resources, and talents of New York City’s leading law firms to provide pro bono legal services to the city’s neediest residents.  Each year, over 800 volunteer attorneys from more than 40 law firms provide legal assistance to 3,000 low-income New Yorkers through our projects.  Under the supervision of the Executive Director, the Office Manager provides the administrative and management support our ten-person staff needs to achieve these results.

Responsibilities

The Office Manager’s primary responsibilities include acting as a receptionist, creating and maintain administrative systems, reducing overhead expenses, and providing administrative support to staff.  The Office Manager interacts with all our staff, clients, Board members, and other stakeholders.  Therefore, she or he must demonstrate exemplary customer service skills, both internally and externally, and know how to communicate positively and productively.

Specifically, the Office Manager:

  • Performs receptionist duties, including welcoming guests and answering general calls/emails,
  • Orders office supplies and makes sure our office machines are working properly,
  • Acts as a liaison with our landlord and with our vendors, including off-site tech support,
  • Provides administrative support for our fundraising campaigns, including data entry,
  • Prepares for meetings, presentations, and trainings,
  • Manages our employee benefits, and
  • Provides administrative support to the Executive Director and Associate Director

 Qualifications

  • Bachelor’s degree or equivalent
  • Three to five years of work experience in a similar position
  • Excellent computer skills, including expertise in Word, Excel, Outlook, and general internet research
  • Intermediate Excel skills, including data entry, formatting, editing, and mail merge
  • Experience with data entry in a client/customer management database
  • Excellent time-management skills, particularly the ability to prioritize competing tasks
  • PowerPoint and social media skills are a plus
  • Experience using donor-management software is a plus
  • Spanish language skills (conversational or fluent) are a plus
  • Demonstrated commitment to social justice is a plus

Compensation

VOLS offers an excellent benefits package, including health, life, and disability insurance, a retirement plan to which VOLS contributes, and the option to contribute to a 403(b) plan.  We also provide 25 days of paid vacation and 12 days of paid sick leave annually.  Salary will be competitive and will depend on experience.
